Speakers from 14 countries – Australia, Japan, Norway, Finland, Hungary, Germany, UK, USA, Brazil, UAE etc. spoke on critical aspects of front end efforts at the time of project creation in vision realisation.

Adesh Jain, Founder of WPMF in his inaugural address showed graphics which captured the background in creating WPMF. Vision can be only accomplished through project creation phase followed by project execution or delivery. The outcome of a project is in realisation of benefits, he referred to as Actual Benefits (AB). AB is compared with Visualised Benefits at the time of visioning process. For project success, the gap between VB and AB should be as low as possible.

There is a direct relationship between RESPONSIBILITY and FREEDOM. There are ten possibilities or states linking the level of Responsibility fulfilled with that of the Freedom given.

In the schematic X axis represents Freedom and Y axis denotes Responsibility. We can divide Freedom and Responsibility into three levels i.e. Low (L), Medium (M) and High (H) giving rise to nine combinations.

A tenth possibility or combination (shown on the top right corner) is of Super Freedom combined with Super Responsibility giving rise to the outcome of Self Empowerment or Self Actualization. This is the ultimate state one can wish to be in. Great leaders worldwide always demonstrate their willingness to be in this highly desirable state. From a business perspective, entrepreneurs attempt to reach this ultimate stage. This 10th possibility does not mean having your own business. You can be working for an organisation and still you create your own leadership to be in this state.

The stability of the 9 possible States is shown by three different colours i.e. Stable (Green), Unstable (Yellow) and Very Unstable (Red). Our challenge is to be in the green state. All the three Green states are equal in their importance.

(Taken from the book ‘Assorted Thoughts on Project Management’ by Adesh Jain. The book was released on 6 December, 2014 by Mr. Nitin Gadkari, Union Minister of Road Transport , Highways and Shipping, Government of India. )

Let us look at execution of activities with reference to X,Y and Z dimensions.

ACTIVITIES are performed with reference to TIME. We may call it Z and X dimensions as shown in the schematic. These activities are part of our business, project or social activities. Conventionally we keep performing similar activities over time with little thought in a robotic mode. But we are beyond robots and the differentiating factor is consciousness. I call this as AWARENESS. If we are fully aware of what we are doing every moment then the quality of our work will be extremely high.

The Awareness is in Y dimension. I have chosen this as Y dimension to link it with Potential Energy. Potential Energy is mass multiplied by gravity and then the height (PE=MxGxH).

We must discover our Potential Energy by being fully aware of what we are doing. Awareness will certainly not dilute the efforts or divide our attention as Awareness is inbuilt in our actions and we must discover it. Awareness increases our consciousness.

Adesh Jain, Chairman, i2P2M

Education is towards the hard side as it does not change frequently.

Experience, Emotions and Expectations are more towards a softer dimension implying frequent changes. Among these three, Emotions change most frequently.

Our E4 is not static as it undergoes changes.

Unique E4 + Changes = Unique E4

Whenever there is connectivity between human beings, there is bound to be differences both positive and negative. E4 takes full cognizance of the differences and taps on strengths of individuals instead of weaknesses to build high performance teams.

Even though our E4 is unique we must make all attempts to continuously acquire knowledge and apply it to improve our skills and competencies.

Unique E4 + Growth = Unique E4

The challenge for planning and implementing projects, programs and portfolios is to integrate different E4s to supplement each other creating a better possibility of achieving what we have visualized.

Adesh Jain, Chairman, i2P2M

In the schematic, the vertical line represents Time as on-date. We need to take a decision which will impact our future and we have three possibilities.

• The first possibility is when we have no information about the future hence our decision can only be based on past experience, guess work or intuition.

• The second possibility is when we have partial information about the future events.

• The third possibility is when we have all the information about the future and therefore can take a decision easily based on complete information . It is only a utopia.

Project managers are required take decisions on the availability of partial information i.e. 12 state. Decision making therefore is tough.

Decision making is the most fundamental attribute of living beings which gets activated dynamically when it comes to our survival process. Decisions require information either based on facts or perceived facts.

In the context of decisions made under uncertainty, a ‘good’ decision is one that is based on sound decision making principles. Because decisions must usually be made before full information is available and uncertainties are resolved, a good decision might have lucky and unlucky consequences.

However, we should not criticize decision makers for the unlucky outcomes. They should be criticized only if their analysis at the time of making the decision was not based on due diligence. After the event, it is easy to give advice as to what should have been done. We need to bear in mind that complete information will never be available before taking a decision.

Any audit done must also view the assumptions made at the time of taking decisions and not just look at outcomes in isolation.
Adesh Jain
